To tackle the issue, the team developed an AI-powered digital onboarding module that automatically guides new hires from the moment they accept the job until they show up for work.
At ProfiHand, onboarding begins before the first working day. Their AI system helps newcomers transition smoothly into the workplace. Its primary goal is to reduce stress caused by uncertainty and provide essential information in a clear, accessible format.
The onboarding process unfolds in stages. Employees gain access to materials explaining workplace rules, expectations, and team structure. According to Vyacheslav, it’s crucial that a new hire doesn’t feel isolated, even before arriving at the site.
The system customizes training content based on the specific job or location, provides a clear sequence of steps, and tracks what the worker has already completed. Reminders and additional clarifications are sent when needed - all without requiring manual intervention. Yet, the experience remains personalized.
This AI module also boosts engagement. Workers see that the company is investing in their success, and training isn’t just a checkbox - it’s part of the company’s culture. As a result, turnover drops, and onboarding becomes more predictable and stable.
Measurable Results
Since implementing AI onboarding, early-stage turnover has decreased to 20–25%. New hires ask fewer repetitive questions, adapt faster, and are more likely to stay. The workload on coordinators has nearly halved, allowing them to focus on complex or exceptional cases instead of repeating the basics.
For the business, this means lower costs, better quality during project launches, and more stable operations. Trust also increases - not through slogans, but because employees get answers before they even think to ask.
The Next Step: Scaling
Today, Vyacheslav Hryn and his team are scaling the solution into a SaaS product called TalentMap AI. Its goal is to provide small and medium-sized businesses with a simple, effective onboarding tool - one that doesn’t compromise the human touch.
Their focus markets include the US, Germany, and countries with high employee turnover.
