A major research work on building effective company management systems has just been released. The author of the book “A Comprehensive Model for Cost Optimization in Service Companies: Tools for Sustainable Development”, Elena Makushina, is a recognized expert in financial management. In her work, she presents practical tools that enable companies to reduce costs without compromising their core operations.

The unique approaches to cost optimization developed by Elena Makushina have gained wide recognition and are already being implemented across numerous companies. They are grounded in extensive practical experience and the use of advanced digital tools. Elena Makushina spent many years working in financial roles within Hilton and Marriott hotel chains, including during the COVID-19 pandemic. She has also presented her methodology at conferences, forums, and seminars for finance professionals.

Elena Makushina is a recipient of Russia’s XII “Expert of the Year” Award in the category “Finance Expert of the Year.” She is also a member of the Commission on Investment and Innovative Entrepreneurship at the Center for Strategic Communications under the Chamber of Commerce and Industry of Russia, one of the country’s most authoritative industry communities, which plays a significant role in shaping the agenda that influences the business climate.

Work on the book took approximately three years. The extended timeline reflects the fact that many elements of the methodology had not previously been described or systematized.

At the core of Elena Makushina’s approach is thoughtful cost control supported by modern digital tools that ensure full transparency of business processes. She has developed practical mechanisms that allow companies to analyze all categories of expenses and optimize costs efficiently.

For example, one of the most valuable contributions is her method for identifying duplicate expensescosts that appear under different names in documentation but are essentially the same. These may include subscriptions to similar services purchased by different departments, or isolated retail purchases of items that could instead be procured in bulk at a company-wide level with significant savings.

As a result, Makushina’s approach does not require companies to cut back on necessary goods and services, but rather enables them to acquire them under the most efficient and cost-effective conditions.

At the same time, Elena Makushina incorporates into her model a rational framework for using various tools, placing economic efficiency at the forefront, including implementation and maintenance costs. She emphasizes selecting solutions that can be fully utilized by the company, while avoiding unnecessary functionality. If a tool cannot be implemented in a streamlined form, Makushina proposes alternative approaches, including delegating certain functions through outsourcing or outstaffing.

A key innovation is the introduction of lean management principles. While this approach has been used in industrial enterprises for decades, in many service sectors it has been difficult to accurately measure losses until recently. By applying a value-based approach to service management, Elena Makushina has adapted this system to a wide range of industries.

For example, in HoReCa, her calculations show that time losses due to waiting can account for 30% to 50%. In restaurants, this often takes the form of slow table service, while in hotels it includes significant time spent preparing for corporate clients. Through capacity balancing, as proposed by Makushina, these losses can be reduced by 60% to 80%.

She also estimates that inefficiencies caused by routine operations account for 20% to 40% of lost productivity. According to Makushina, automation and the application of Kaizen-based planning methodologies can reduce these losses by up to 50%.

In her innovative methodology, Elena Makushina proposes a fundamentally new approach to organizing labor processes. She rightly notes that in recent years, with the introduction of digital tools and electronic document management, the workload for many administrative and accounting roles has changed significantly. Makushina suggests assessing workload across each position and, where it is consistently low, making management decisions to consolidate functions or outsource them. For example, in the administrative segment alone, she estimates the optimization potential at 30% to 40%.

She also introduces frameworks for implementing remote work. Her proposed hybrid work model not only reshapes HR processes but also delivers substantial savings on office rent, which typically accounts for 15% to 25% of total operating costs. Makushina also provides calculations on the use of energy-efficient technologies, an important innovation, given that such assessments have historically been rare for office buildings and service-sector businesses.

In addition, she presents a methodology for optimizing marketing expenses based on continuous monitoring of advertising campaigns and the rapid discontinuation of underperforming tools, enabling companies to significantly reduce their promotional budgets.

The key ideas presented in the book are supported by case studies, checklists, and detailed practical recommendations. Although Elena Makushina positions her book “A Comprehensive Model for Cost Optimization in Service Companies: Tools for Sustainable Development” as a textbook, it has already become a valuable source of new insights for business owners and senior executives. Makushina notes that this outcome was expected, despite the rapid development of digital tools, there remains a clear lack of comprehensive, up-to-date resources tailored to modern business environments. Her work helps bridge this gap, providing a solid foundation for more effective and sustainable business development.
